Next-generation Soup Mail: FAQ

Published on March 12th, 2025 by Euan Kennedy

Next-generation Soup Mail is on its way. It is tightly integrated into Microsoft 365, to maximise your productivity and keep Soup Mail emails directly alongside your other project files, and within your existing team collaboration spaces. To do this, it uses Microsoft Teams as a platform.

Q: Why?! I love Soup Mail just how it is!
A: We’re modernising Soup Mail to keep up with technology changes. We’ve also heard from you folks that use Soup Mail, about what is important to you. See our announcement for more on this.

Q: Is there a change in price?
A: Yes, we will announce the new pricing soon and excited to share that it will be the same or in some cases less that what you are currently paying.

Q: Will the old (current) version be available after 30 June 2025?
A: No.

Q: What do you mean by “AI ready”?
A: By storing emails in Teams, they are available to Microsoft Copilot if you have Copilot enabled, and subject to your configuration of Copilot. We don’t use our own AI, so only what is already under your control applies to the emails.

Q: What is Teams?
A: Teams is Microsoft’s premium collaboration tool that is included with most versions of Microsoft 365. Teams “Files” is SharePoint Online.

Q: I’m not using Teams, will it still work for me?
A: Yes. Teams is included with most version of Microsoft 365 e.g. Microsoft 365 Business incl Team with 1 TB storage per organisation plus 10gb per user. eg. If you have 20 people in your organisation you have 1TB + 20ppl x 10Gb = 1.2TB. If you are not currently licensed to Teams, then please speak with your admin. Teams can also be purchased as a add-on to your existing M365 licence e.g. Teams essentials for $6 / user / month.

Q: How does Teams organise my emails?
A: Each Team has a SharePoint site. Each channel has a folder within the Document Library on the Team site. This gives lots of flexibility and capacity to organise your emails alongside your other project files in any way you wish.

Q: Will my emails be migrated?
A: Yes. A migration tool will be available for planned migration prior to 30 June.

Q: Can I get all my current team emails from the existing Soup Mail?
A: Yes. You can use the existing Folder archive feature to download your emails folder by folder.

Q: What are the limits of Teams?
A: See here for details from Microsoft: https://learn.microsoft.com/en-us/microsoftteams/limits-specifications-teams
